Performs quality assurance activities in the Document Imaging division of Health Information Management to ensure processes are working correctly and documentation is being accurately scanned and indexed. Coordinates the final review of hard copy medical record documentation prior to destruction in accordance with established protocol. Performs chart corrections involving scanned documentation on request to ensure patient safety.

1. Coordinates the final quality review process of all scanned medical records to ensure records are scanned , complete and legible prior to the destruction of paper documents.
1.1 Reviews a percentage of indexed documents from each batch in accordance with established sandards by record type and ensures it is complete and accurate.
2. Performs employee quality assurance audits on documentation that has beenprepped, scanned and/or indexed to ensure established procedures have been met.
2.1 Conducts ongoing audits on all document imaging technicians and work types.
3. Identifies non-approved forms and/or other trends that need to be escalated to Document Imaging leadership for follow-up.
4. Verifies and tracks documents without patient identifiers and provides ongoing feedback to appropriate clinical units.
4.1 Returns documents without patient identifiers to the appropriate unit for follow-up in a timely manner.
5. Monitors emails and phone calls for documentation correction notifications from end users throughout the health system.
5.1 Locates hard copy medical records as needed to resolve chart correction issues.
6. Provides support and assistance to the HIM management staff through various means that support departmental operations.
7. Attends mandatory HIM department and work team meetings.
8. Completes annual mandatory in-person training or healthstream modules on time.
9. Adheres to Time & Attendance policy.
10. Demonstrates flexibility to work any shift, weekends, and holidays to meet HIM department workflow needs.
11. Effectively communicates with leadership and stakeholders at all levels; ensures that supervisor is apprised of any trends to guide education and training efforts.
Qualifications
EDUCATION
High school graduate or equivalent required; Associates Degree preferred; or formalized medical record technician training.
EXPERIENCE
Two (2) years or more experience in document management and working specifically with medical record document imaging process required. Demonstrated experience troubleshooting and responding to system related issues involving scanning software.
SPECIAL SKILLS
Excellent understanding of HIM compliance standards and document management forms and policies. Demonstrated understanding of document imaging software and scanning equipment to be able to trouble shoot issues with quality Must possess analytical skills necessary to perform quality assurance audits on HIM Tech. Effectively communicates with leadership and stakeholders at all levels; ensures that supervisor is apprised of any trends to guide education and training efforts.
PHYSICAL DEMAND
Must be physically able to walk, lift, bend, reach and push large stacks of documents.
